Reservation Specialist (English Speaking)

We are seeking a detail-oriented and customer-focused Reservation & Dispatch Coordinator to join our team. In this role, you will be responsible for managing all incoming reservations, coordinating with chauffeurs and affiliate partner companies, and ensuring exceptional service delivery to our clients. The ideal candidate will thrive in a fast-paced environment and possess strong communication, organizational, and problem-solving skills and be computer proficient. Background in hospitality and/or travel is preferred.

Key Responsibilities

● Accurately and promptly enter reservations received via inbound calls, emails, or chat into the system.

● Monitor chauffeur schedules and routes to ensure on-time pickups and arrivals.

● Regularly review reservation portals for new, updated, or canceled bookings and update internal systems accordingly.

● Coordinate with fellow dispatchers to assign, reassign, and optimize ride schedules based on availability and demand.

● Communicate directly with affiliates to confirm service details, ensure smooth coordination, and address any issues.

● Collaborate with the sales team to manage special requests or customer needs, ensuring a seamless and satisfactory client experience.

● Maintain accurate call logs and reservation data in shared folders for internal reporting and auditing.

● Deliver outstanding service with a proactive “Extra Mile” attitude, responding promptly to internal and external inquiries.

● Respond quickly and effectively to chauffeur and passenger calls, particularly for on-demand services.

● Maintain customer confidentiality at all times; a strict adherence to non-disclosure policies is required.

● Monitor service criteria to ensure consistent delivery of high-level client satisfaction.

● Identify potential service disruptions, working with chauffeurs or drivers to minimize impact and communicating proactively with clients as needed.

● Uphold a professional demeanor and positive tone in all communications, both written and verbal.

● Adhoc duties as needed

Qualifications

● Prior experience in transportation, hospitality, travel, logistics, dispatch, or customer service preferred. ● Strong computer skills and proficiency in reservation/dispatch software and MS Office Suite. ● Excellent written and verbal communication skills.

● Strong organizational skills and attention to detail.

● Ability to multitask and remain calm under pressure while utilizing problem solving skills. ● Flexible schedule and availability for shift work, including weekends and holidays if needed.

● A customer-first mindset and commitment to providing top-tier service.

● Self motivated; ability to work in a remote setting.
